Document Management System

How the Document Management System can streamline part of the internal business processes

With Fluentis ERP you can manage the entire document flow of your company, electronically grouping and archiving the possible documents sent and/or delivered to its customers or potential contacts. This area is directly connected to the management of the activities carried out on contacts.

  • Integrates the basic functionality of document archiving with Bar Code Recognition and OCR procedures - Optical recognition
  • It manages all the active and passive documents produced by the ERP
  • It is possible to associate digital documents to any module object
  • Each document can be modified at any time and mapped within the software
  • Reduce printed paper volumes accordingly storage spaces
  • Documents always available in any place through a simple internet connection

What can you do with Fluentis DMS?

The procedure for reading documents through bar Code Recognition allows you to identify the document on the basis of a bar code label associated with the image of the document itself.

The association of Business Document allows the operator to quickly identify all the documents linked to the management entity, such as for example: invoices, delivery notes, contracts, customer or item master data; or to all those management entities involved and configured in the Fluentis Document Management System. Searching the DMS for these entities is much easier and more natural for the operator, avoiding having to enter the classic TAGS when inserting the document in order to be searched through them.

The document management of Fluentis implements the “Drag” of the document from the “Windows” desk and the “Drop” of the same within the management document concerned. For example, if the user wishes to hook the customer’s order confirmation (represented by a PDF file) directly to the customer order opened in the management software, simply drag the PDF and drop it into the “form” of the order currently open in Fluentis. This type of activity significantly increases the operator’s “user experience” level.

Ability to open read/write Word and Excel documents.

Ability to manage documents on a separate file system from the management database.

Allows the exchange of documents with ARXivar.

Each document can be associated with a type of category and with an existing project, in order to easily group the documents and then be able to view them easily.

Why is it important that the Document is integrated into the management software?

Fluentis ERP has document management integrated with all other procedures. The document integrated with business processes increasingly represents a “repository” of heterogeneous and strategic information for the management of business processes.

The great added value defined by the Fluentis document is characterized by the possibility of identifying any digital document, not only for the classic search keys based on the TAGs assigned when inserting the document in the database, but thanks to the association of the document same with the associated “business document”. In fact, it is possible to extend the search in the Fluentis DMS document archive through the indirect association of the connected business object; this allows the operator two simultaneous advantages, the first that it is not necessary to “tag” any document when entering the document database, and the second that the search for the same takes place by implicit and indirect association.

Fluentis Document Management System is characterized by the classic settings by type of document, by category, by file type, by folder and it is possible to establish the security and accessibility criteria relating to each document or category of document according to the user or role associated with it.

In the Fluentis ERP documentary it is rich in functionality, in particular the reading through BCR (Bar Code Recognition), that is the possibility of recognizing a document according to its associated barcode when it is inserted in the “repository”.

The document “repository” can be internal to the management database, rather than being configured in a separate directory rather than parameterized in an alternative database to that of the management data.
